Why automate first
When a team is stretched, hiring feels like the obvious answer. But if much of the extra work is copying data between systems or chasing routine updates, a new person will spend their day on the same low-value tasks. Automating that work first often removes the pressure, or lets a new hire focus on more valuable responsibilities.
1. Entering the same data twice
Orders typed from email into a spreadsheet, then into an accounting system, are a classic example. Connecting the systems or using a simple bot to move the data removes errors as well as hours.
2. Following up on enquiries and payments
Reminders for unpaid invoices, missing documents or unanswered quotations follow predictable rules. Automated messages at the right time keep things moving without anyone needing to remember.
3. Building the weekly report
If someone spends half a day each week collecting numbers from several places, that report can usually be generated automatically and delivered to the right people on schedule.
4. Routing requests and approvals
Leave requests, purchase approvals and customer requests often wait in the wrong inbox. A simple workflow sends each one to the right person, reminds them and records the decision.
5. Updating customers on progress
Customers want to know where their order or booking stands. Status updates by email or WhatsApp, triggered by changes in your system, cut down on calls and improve the experience at the same time.
Start with the exceptions
Automation works best when you understand the unusual cases too. Write down what happens when information is missing or a rule does not fit, and decide who handles those cases. Then automate the normal path with confidence.
